Can I recall a BillFiler message?

How to Recall a Message:


You can initiate a recall from either the Outlook desktop client or the Outlook on the web (OWA).

Using Outlook 

  1. Go to your Sent Items folder.
  2. Double-click the message you want to recall to open it in a new window.
  3. In the Message tab, click on Actions (or the three dots "...") and then select Recall This Message.
  4. You will have two options:
  1. Delete unread copies of this message: This will attempt to delete the message from the recipient's inbox if they haven't read it.
  2. Delete unread copies and replace with a new message: This will delete the original message and allow you to send a corrected version.
  3. You can also choose to be notified of the recall's success or failure for each recipient.

 

Important Limitations and Conditions:

  • Recipient's Mailbox: Both the sender and the recipient must have mailboxes in the same Exchange Online organization.
  • Read Messages: The new cloud-based recall can recall messages that have been read, but this feature can be disabled by an administrator. The success rate is much higher for unread messages.
  • Time Limits: There is no default time limit for recalling a message, but an administrator can set one.
  • Forwarded Messages: Messages automatically forwarded by a recipient to another mailbox within the same organization can be recalled. However, manually forwarded messages or those forwarded by inbox rules cannot.

For Administrators:

  • Enable Recall: The message recall feature is enabled by default at the tenant level. An administrator can verify this in the Exchange admin center under Settings > Mail flow.
  • Recall Reports: After initiating a recall, you will receive a report on its status.

In summary, while you can attempt to recall an email sent from BillFiler, its success depends almost entirely on whether the recipient is internal to your Office 365 organization. For external recipients, a recall is not a reliable option, and a follow-up email with corrections is the recommended approach.
