Every Product in REX has a Sales Channel and a Source Group attached. This source group is what the order then uses for fulfillment. You can have different source groups for different sales channels. This allows you to alter what outlets are used for stock levels.


If you have 3 in one location and 4 in another you can set up a source group to show you 3, 4 or 7 in stock depending on what you require.


Source groups are maintained via System Settings > Locations/Outlets > Source Groups.

Configuring Source Groups for Webstore Integrations

Source Groups are used to determine how and where your stock is sourced for your web store.

When you select your Source Group in Retail Express, you're deciding:

  • Which Outlets make up the available stock for your products
  • In which Outlet order the stock should be sourced

Source Groups can also be used to calculate the estimated time of arrival (ETA) by factoring in any incoming Purchase Orders, as well as creating automatic Internal Transfer Orders (ITOs) when products need to be transferred between stores as a result of a sale placed online.

Note - if you want your product to be available online regardless of the current stock level, you still need to assign it to a Source Group so that it synchronises. You also need to enable the "Prevent Disabling" option on the product - discussed later in the Implementation documentation.

Note: if you are unable to access Source Groups, you may need to adjust your User settings or request assistance from an enabled User.

To configure a Source Group/s:

  1. Log into Retail Express Back Office
  2. Navigate to: Settings > Locations/Outlets > Source Groups
  3. Enter a name for the Source Group in the Name field.
  4. Tick Apply Source Priority if you would like your products to be sourced according to the order of the outlets (this will also ensure the ETA date for Purchase Orders can be calculated)
  5. If you have multiple countries, highlight the Country for your Outlet list
  6. Highlight the Outlets you would like to add to this source group (To select multiple Outlets, hold the Ctrl button)
  7. Press the Right arrow button to add the Outlets to the right-hand column
  8. To remove an Outlet, highlight the Outlet in the right column and press the Left arrow
  9. Press Insert to add the source group

Tip: move your Outlets up and down based on the order you want the web service to source the stock from

Common Scenarios:

The below scenarios provide examples of how source groups can be used:

Store has two outlets, Brisbane and Mooloolaba. All products are available from both stores and can be sourced by the web store.

Some products available from one outlet, other products not synchronised to the web store.

Single Source Group with the Outlet assigned to that Source Group. 

Only required products assigned to the source group. Other products not set to Export to Web and not assigned to a Source Group.

The business only synchronises a limited range of products to the web store, from Mooloolaba only. 

A Source Group is created with the Mooloolaba outlet only (not Brisbane). Only the Products that are synchronised with the web store are configured and assigned that Source Group.

Some products available from multiple outlets (same outlet for these products)

Single Source Group with multiple Outlets assigned to the Source Group. 

Only required products assigned to the source group. Other products not set to Export to Web and not assigned to a Source Group.

The business only synchronises a limited range of products to the web store, from both Brisbane and Mooloolaba.

A Source Group is created with the both outlets. Only the Products that are synchronised with the web store are configured and assigned that Source Group.

Some products available from Outlet A, some products available from Outlet B

Separate Source Groups:

  • Source Group 1 has Outlet A assigned
  • Source Group 2 has Outlet B assigned

Products are assigned to the appropriate Source Group based on where they're available from

The business has a warehouse set up in Brisbane that handles bulky goods e.g. Furniture. The store in Mooloolaba handles smaller products. The web store sells both products online.

Source Group 1 is configured to have the Brisbane Outlet. Source Group 2 is configured to have the Mooloolaba Outlet. 

Products are assigned to either Source Group 1 or Source 2 based on whether they're bulky or not.

The Sales Channel has both Source Groups assigned. 

 

Some products should come from Outlet B first, and then A. Some products should come from Outlet A only.

Separate Source Groups:

  • Source Group 1 has Outlet B assigned first, then Outlet A
  • Source Group 2 has Outlet A only

Products are assigned to the appropriate Source Group based on where they're available from

 

The business has a warehouse set up in Brisbane that handles bulky goods e.g. Furniture. The stores have some bulky goods in stock, but prefer the web store to take it from the warehouse first so that store stock is mainly used by customers shopping in-store. The store in Mooloolaba handles smaller products. The web store sells both products online.

Source Group 1 is configured to have the Brisbane Outlet first, and then Mooloolaba. Source Group 2 is configured to have the Mooloolaba Outlet only. 

Products are assigned to either Source Group 1 or Source 2 based on whether they're bulky or not.

The Sales Channel has both Source Groups assigned.
